Required Hours: Monday-Thursday 8:30am-5:30pm and Friday 8am-3:30pm

Leadership & Team Management
- Lead and support office team members daily
- Train, coach, and hold staff accountable
- Assist with onboarding and ongoing staff development
- Help maintain a positive, professional office culture
- Address patient and team concerns professionally
- Support doctors and leadership with operational initiatives
- Attend monthly manager meetings to align with leadership on goals, strategy, and initiatives
Office Operations
- Oversee daily clinic flow and patient scheduling
- Ensure efficient front desk, clinical, and optical operations
- Maintain a working understanding of front desk, clinical, and optical operations to provide support and fill in where needed to keep office flow running smoothly.
- Monitor appointment scheduling, recalls, and cancellations
- Help maintain productivity and patient satisfaction goals
- Troubleshoot operational issues and improve workflows
- Ensure office policies and procedures are followed
Administrative Duties
- Assist with payroll, timecards, and scheduling
- Support hiring and interviewing processes
- Monitor inventory and office supply needs
- Maintain HIPAA compliance and confidentiality
- Assist with reports, and daily metrics
- Account payable
- Monitor and drive key performance indicators (KPIs), productivity, and profitability
Patient Experience
- Deliver exceptional customer service
- Handle escalated patient concerns professionally
- Help create a welcoming and efficient patient experience
- Support patient education regarding products, services, and fees
Required Qualifications
- High School Diploma
- Optometry, ophthalmology, or healthcare office experience
- Strong communication and organizational skills
- Ability to multitask in a fast-paced environment
- Professional and positive attitude
- Reliable attendance and punctuality
- Leadership mindset with strong follow-through
- Comfortable coaching and supporting team members
- Basic computer proficiency and ability to learn office systems
- Previous management, supervisor, or lead experience
- Experience in private practice optometry
- Knowledge of:
- Insurance verification
- Scheduling
- Optical sales
- Contact lenses
- Clinical workflows
- Experience with EHR/Practice Management software
- ABO, CPO, or other optometric certifications
